Software Evaluation & Licensing Roadmap Sophic offers a thorough software evaluation process designed to provide prospective customers with complete and accurate information on Biomax software capabilities, features and functions prior to licensing the products. We recommend and prefer that scientists, bioinformations, physicians and all future users follow the roadmap outlined below so that everyone understands the software. Our goal is to insure we build our customer community with enthusiastic scientists and doctors who are successful in achieving their objectives through a long-term, collaborative relationship. Phase I - Requirements Definition - Orientation Demonstration Our scientists conduct needs analysis with prospects to gain a clear understanding of problems and objectives. Based on this analysis, we help develop "metrics for success" that describe requirements for achieving research or biomedical goals.
If there is alignment with these requirements, and it is feasible that goals can be achieved through the use of the software, we schedule a detailed software orientation demonstration. We use several standard use cases to show the flexibility of the software to be configured to meet specific "metrics for success." If the outcome of the demonstration is successful, we proceed to Phase II.
Phase II - 30-Day Live Software Trial We provide remote access to the Biomax software demonstration server at no charge so that at your convenience; you can exercise the live software and get hands-on experience with the capabilities, features and functions of the system.
During the 30 day trial, we provide the support you need to learn and test the system. Support includes guided tours via web meetings, demonstration scripts that allow you to explore various use case scenarios, email or telephone Q & A with our scientists to help you gain an understanding of overall software capabilities. We recommend you use your “metrics for success” during the 30 day test period to judge the feasibility of using the software to achieve your goals. We have a formal Trial de-brief to review the results and decide, together with our prospect, to proceed with or stop the evaluation process.
Phase III - 3-Month Conference Room Pilot Based on success achieved in Phase II, we collaborate with prospects to conduct a proof of concept conference room pilot.
The software is installed at a customer’s site with unlimited access to the software. We also provide 10 days of technical, training and testing support to configure the software with customer files and exercise customer specific use cases. There are technical, scientific and end user workshops that allow prospects to conduct a thorough proof-of- concept pilot with the system. The investment for the Pilot is $60,000 for software license fees plus $15,000 for 10 days of support services plus any normal travel expenses for our consultants. The $60,000 is credited toward a term or perpetual license of the software at the end of the Pilot. If for some reason, the software is not licensed, the $60,000 license fee is non-refundable.
Concurrent User Model Software modules are configured and licensed individually or in suites, depending on the requirements of our customers.
We provide a concurrent user license model for 6, 15, 30 or 50 and more concurrent users. A concurrent user seat means that, for a 6 user license, up to, but not more than, 6 users can be logged onto the software at the same time.
Term or Perpetual License Agreements An Annual Term License Agreement allows customers to commit to using the software for 1, 2 or 3 years.
License fees are paid annually at the beginning of each year. A commitment for a 3 year term "locks in" the annual fees with no increase in annual fees during the 3 year term. Maintenance is included in the annual term fee.
A Perpetual License Agreement is a license to use the software in perpetuity. This is a larger up-front investment but, over time, actually costs less than a term agreement. Maintenance is included for the first year. In subsequent years customers can invest in maintenance at 15% of the original license fees, paid at the beginning of each year. Annual maintenance includes system updates with software corrections plus new release service for features and functions added to the software products. Online and phone support is provided during normal working hours. | |
